Boards: visualize and manage the flow of work

Whether you use Scrum, Kanban, or Scrumban, the board is where your team sees what is happening right now — and what needs attention next.

Board types at a glance

Your board layout depends on your project type. Each type offers a different balance of structure and flexibility:

  • Scrum board — fixed columns: To Do, Doing, Done. Cards are prioritized vertically; expand a card to reveal its task board.
  • Kanban board — fully customizable columns that represent your workflow stages. Cards move horizontally through columns.
  • Scrumban board — customizable columns with sprint support. The recommended choice for teams that want both flexibility and iteration structure.

Customizing board columns

For Kanban and Scrumban projects, you can add, remove, rename, reorder, and configure columns from Project Settings → Admin → Columns. Each column has three properties:

  • Name — the label shown on the board header (e.g., 'Code Review', 'QA', 'Staging')
  • WIP limit — the maximum number of cards allowed in the column. When exceeded, the column header turns red as a visual warning.
  • Type — determines the card status: To Do, Doing, or Done. Cards in a 'Done' column are considered complete for reporting and counters.

Example — Engineering team: A team configures five columns: Backlog → In Progress → Code Review → QA → Released. "Backlog" is type To Do, "In Progress" and "Code Review" are Doing, "QA" is Doing, and "Released" is Done. WIP limit of 3 on Code Review ensures reviewers are not overwhelmed.

Example — Marketing team: A content team uses: Ideas → Writing → Editing → Scheduled → Published. WIP limit of 2 on Writing keeps the team focused on finishing drafts before starting new ones.

Working with the board

The board is a real-time view of all cards in the current sprint (Scrum/Scrumban) or the active workflow (Kanban). Key interactions:

  • Drag and drop cards between columns to update their status
  • Click a card name to open the detail modal — view and edit description, tasks, comments, and attachments
  • Use the card dropdown menu for quick actions: assign, label, block, or move
  • Click 'Show only my cards' to filter the board to your assigned work
  • Add new cards directly on the board with the + button
  • All changes appear instantly for every team member — no refresh needed

WIP limits and flow management

Work In Progress limits are a core Kanban principle. They prevent the team from starting too many things at once, which leads to context switching, longer lead times, and lower quality.

  • Set WIP limits per column in Project Settings → Admin → Columns
  • When a column exceeds its WIP limit, the header changes color as a visual alert
  • WIP limits are advisory — the system does not block card movement, but it highlights violations
  • Start with generous limits and tighten them as the team develops a flow rhythm
  • A common starting point: WIP limit equal to the number of team members working that stage

Example: A 4-person team sets a WIP limit of 4 on "In Progress" and 2 on "Code Review". When the Code Review column hits 3 cards, the red highlight reminds the team to finish reviews before starting new features.

Scrum board specifics

The Scrum board uses a vertical priority model. Cards are stacked from top (highest priority) to bottom. Expand any card to see and interact with its task board:

  • Click the expand icon on a card to reveal description and task board
  • Tasks have three columns: To Do, Doing, Done
  • Drag tasks between columns to update their status
  • When all tasks on a card are Done, the card is considered complete
  • Add new tasks directly from the expanded view with the + button
  • Labels and descriptions are visible in the expanded view for full context

Board filtering and navigation

  • Use 'Show only my cards' to see just your assigned work — great for daily standups
  • Labels provide visual grouping across columns — enable backlog bucket labels for an extra layer
  • Navigate between the board and sprint planning views using the toolbar buttons
  • Access the burndown chart from the board toolbar (Scrum and Scrumban)

Common questions

Can I add columns to a Scrum board?+
No. Scrum boards use fixed To Do / Doing / Done columns. If you need customizable columns, switch to Scrumban or Kanban in Project Settings → Admin.
What happens if I exceed a WIP limit?+
The column header turns red as a visual warning. Cards can still be moved in — the limit is advisory, not enforcing.
Can multiple people drag cards at the same time?+
Yes. The board is fully real-time and supports concurrent editing. Changes from all team members appear instantly.
Can I archive old columns?+
You can delete columns that no longer apply. Any cards in the deleted column will need to be moved to another column first.
