Organizations: one home for your work and billing

An organization owns projects and workspaces, decides who may manage them, and pays for them. Everyone has a personal organization, and teams can create more.

Your personal organization

Every account has a personal organization, named after you. It owns the projects and workspaces you create for yourself, and holds your plan, payment method, invoices and AI credits.

  • You are its Admin, and you can rename it, recolor it, give it an avatar and invite others
  • People you add to your projects become members of your personal organization, with access only to the projects and workspaces they are in
  • It is free on the Free plan, and can move to a paid plan when your team grows

Organization roles

Every person in an organization has one organization role. Only Admins open every project and workspace; everyone else sees a project's work only through a role in that project or its workspace.

  • Admin: everything. Admins open every project and workspace as their Admin, create projects and workspaces, manage billing, roles and email domains, move work and delete the organization. An organization always keeps at least one Admin
  • User admin: adds and removes people and changes their roles, except the Admin role. User admins see every project and workspace and configure them (settings, members, labels, estimates, time tracking and working days) without opening their boards, backlog, sprints or cards. They also manage email domains and join requests
  • Billing admin: plans, payment method, invoices and AI credit packs
  • Member: sees who is in the organization (names and roles) and works in the projects and workspaces they have a role in

Project and workspace roles still decide the day-to-day work: a Member who is a workspace admin creates projects inside that workspace and manages its people.

Projects and workspaces belong to the organization

Projects and workspaces have no personal owner. The organization owns them and pays for them, and whoever creates one becomes a project or workspace Admin like any other.

  • Choose the organization when you create a project or workspace; a project created inside a workspace belongs to the workspace's organization
  • A project can be in several workspaces, all of the same organization
  • Any Admin of a project can manage its members and settings; nobody needs to hand ownership over

Adding people

People who are already in the organization are added straight to a project or workspace. They get a notification and do not need to accept. People from outside get an email invitation, and join the organization as Members when they accept.

  • Admins and User admins add and invite people anywhere in the organization, and invite people to the organization itself from its Members tab, with an organization role
  • Workspace admins add organization members to their workspace and invite people from outside into it, unless an Admin turns on "Only organization admins can invite people from outside"
  • Project Admins add organization members to their project; people from outside are invited into a project by Admins and User admins
  • Followers stay outside the organization: following a project or workspace never makes anyone a member

Joining through your email domain

A company organization can let colleagues find it and join without an invitation. Admins and User admins add the company's email domain under Settings › Email domains and prove they own it with a DNS TXT record. Only after that check does the domain let anyone join, and it belongs to that one organization.

  • Off: nobody joins through the domain
  • Discoverable: people with a verified email on the domain see the organization and join with one click
  • Requires approval (recommended): they ask to join, and an Admin or User admin approves or declines the request on the Members tab
  • Automatic: anyone who verifies an email on the domain joins as a Member
  • People always join as Members, so they see only the projects and workspaces someone adds them to
  • New people see the organization while they confirm their email; people who already use Flying Donut get a suggestion in their notifications, and the organization stays listed under Organizations › You can join
  • Public email providers such as Gmail or Outlook cannot be added
  • Flying Donut checks the DNS record regularly. If it disappears, joining pauses and the Admins and User admins get an email; it resumes when the record is back. People who already joined stay
  • Someone who leaves the company stays a member until an Admin or User admin removes them

Billing

Open Organizations in the sidebar and choose an organization. Its page has the tabs Overview, Members, Invoices, Payment Method, Plans, AI Credits and Settings. Because every billing screen sits inside a named organization, you always know who pays.

Who you pay for

A person is a billable member when they are an Admin or Member of at least one project or workspace of the organization. Each person counts once per organization, however many projects they are in. The organization's Admins are billable too once it has a private project, because they can open every project. User admins, Billing admins, people without any project yet and Observers are free, and only billable members get a monthly AI credit allowance.

  • The Free plan is for personal organizations: up to 5 billable members and 1 private project
  • Any other organization can be set up for free, but needs a paid plan before its first project or workspace. There is no trial
  • Cancelling takes effect at the end of the billing period, and you can resume until then
  • If an organization stops paying, its private projects are parked until it pays again; public projects stay active

Creating an organization

  • Open Organizations in the sidebar and choose New Organization; you become its Admin
  • Invite people by email from its Members tab, and give each of them a role
  • Choose a plan on its Plans tab before creating its first project or workspace
  • Or move your billing, workspaces and projects into it while you create it (see below)

Moving work between organizations

Admins of both organizations can move a project or workspace from one to the other: use Move on the Organization row of its Settings, or Move work here in the destination's Settings. Before anything moves, a preview shows which workspaces a project leaves, who loses access, who joins and who pays.

  • Moving a workspace takes all its projects; moving a single project takes it out of workspaces that stay behind
  • People with a role on the moved work become Members of the destination and keep their roles; followers keep following
  • Billing never moves into an existing organization: the destination pays with its own plan, and needs one before work moves in
  • If an organization you administer has a running paid plan, New Organization can bring its billing along: plan, payment method, future invoices and purchased AI credits move to the new organization, together with the workspaces and projects you choose. Past invoices stay where they were
  • When billing moves out of a personal organization, it goes back to the Free plan, and its private projects above the Free limit are parked

Common questions

Can someone else see my private projects because they are in my organization?+
Only its Admins. Anyone else sees a project only when they have a role in it or in its workspace. User admins can configure it, but not open its work.
Can I be in several organizations?+
Yes. You can belong to any number of organizations, with a different role in each. You are billable in each organization where you work in a project or workspace.
How do I turn my personal organization into a company organization?+
Create a New Organization for the company and move your billing, workspaces and projects into it in the same step. Your personal organization stays yours.
Can I delete an organization?+
An Admin can delete an organization once it has no projects or workspaces and no unpaid invoices. Your personal organization cannot be deleted.
